5. Cancellations and Refunds
5.1 Cancellation by You
[PLACEHOLDER — insert your cancellation policy here. Example options below — choose one or adapt:]
Option A (strict): All sales are final. No refunds are offered once a block has been booked and payment received, except in exceptional circumstances at our discretion.
Option B (moderate): Cancellations made more than 7 days before the first session of a block will receive a full refund. Cancellations made within 7 days of the block start date are non-refundable.
Option C (flexible): A full refund will be issued if you cancel before the second session of a block. After the second session, no refund will be offered for the remainder of that block.
To cancel your booking, please contact us in writing at admin@smartutor.co.uk.
5.2 Missed Sessions
We do not offer refunds or credits for sessions missed by your child. If your child is unable to attend a session, please let us know as soon as possible. We will make reasonable efforts to share any resources covered in that session, but cannot guarantee a rescheduled slot.
5.3 Cancellation by Smartutor Ltd
In the unlikely event that we need to cancel a session, we will give you as much notice as possible and offer a rescheduled session or a pro-rata credit for that session. If we are unable to deliver the programme for reasons within our control, we will issue a full refund for any undelivered sessions.
6. Session Conduct
6.1 Expected Behaviour
We want every session to be a positive, focused learning environment. We ask that:
-
Your child joins sessions on time and is ready to learn
-
Your child treats the tutor and any other children in the session with respect
-
Your child is seated in a quiet space with minimal distractions during sessions
-
A parent or guardian is available nearby during sessions, particularly for younger children
We reserve the right to remove a child from a session, or to end a booking without refund, if behaviour is consistently disruptive or abusive toward the tutor or other participants.
6.2 Recording of Sessions
[PLACEHOLDER — choose one of the following:]
Option A (not recorded): Sessions are not recorded. No audio or video recording of sessions is permitted by parents, guardians, or children without our prior written consent.
Option B (recorded by us): Sessions may be recorded by Smartutor for quality assurance and safeguarding purposes only. Recordings are not shared with third parties and are deleted after [insert period, e.g. 30 days]. You will be notified of this in your booking confirmation. Recording by parents or children is not permitted without our prior written consent.
6.3 Technical Requirements
Sessions are delivered via Zoom. It is your responsibility to ensure your child has a suitable device, a stable internet connection, and a working camera and microphone before sessions begin. Smartutor is not responsible for disruption caused by technical difficulties on your end.
7. Safeguarding
The safety and welfare of children is our highest priority. Jon Coleman holds a valid Enhanced DBS (Disclosure and Barring Service) check. [PLACEHOLDER: insert DBS certificate number if you wish to publish it, or remove this sentence.]
All sessions are conducted via Zoom. We ask that a parent or guardian remains accessible (though not necessarily in the room) during all sessions, particularly for children in Year 5.
If you have any safeguarding concerns, please contact us immediately at admin@smartutor.co.uk.
8. Results and Limitations
Smartutor provides structured maths tuition designed to support SATs preparation. While we are committed to delivering high-quality sessions and resources, we cannot and do not guarantee any specific SATs result or academic outcome for your child.
Progress depends on many factors, including the child's starting point, engagement, effort, and wider school support. Our role is to provide the best possible tuition — the results are a partnership between us, your child, and you.
